For this event I was point person for spirit week alongside Yuju, Mikaela, and Vyanna.

Prior to the first event I:

  • Researched various event and theme ideas
  • Planning a rough schedule for the month, and determined availability for meetings and event days/
  • Communicated with friends who previously had PP roles, and asked for any tips for running a successful event

MEETINGS

First meeting

  • Brainstormed and discussed potential events and themes.
  • wrote down all ideas mentioned and incorporated a few that I had researched prior to the meeting.

Second meeting – December 4th @ library

  • I chose to take on the doge ball event and selected my group members.
  • I debriefed general roles and responsibilities and assigned roles.
  • I made sure to create soft deadlines for members working on posters, PA announcements, and reels in one document.
  • Afterwards, double checked document with Ms. Rioux and incorporated any missing details.

Third Meeting – December 9th (room A109 – Ms. Rioux’s room)

  • We finalized all roles, and exchanged socials to communicate outside of school (using Instagram)
  • Made sure to redistribute roles to members who were consistently present and took note of recurring absences.

Fourth & final Meetings before event- December 11th @ library

  • Took progress checks
    • Ryan & Sean completed Posters
    • Ethan & Heela completed PA script
      • Sent over rough copy to Ms.Rioux for editing / adjustments
        • The next day I forwarded Ms. Rioux’s good copy to the group
      • Made sure to make role adjustments.
        • Heela let me know she would absent on the event day, so took on her MC’ing and setup/takedown roles.
        • Went over some concerns regarding absences & offered to assist with filming event reel in case of any last-minute problems
          • (2 days after) Due to personal issues Arshiya was not able to film the reel, so only me and Yousef remained.
          • Even though I wasn’t initially part of the group, I took action by quickly meeting up with Yousef, getting Katherine to help out, and filming the reel before the end of the weekend. Thankfully, since Katheirne was down to help we we’re able to go with our initial idea for the reel, which involved me being a hostage after semi-violently exclaiming that I wouldn’t be participate in spirit week.
          • When i got home, I edited the video and sent it over to Ms. Rioux & Mr. Lee

I believe my ability to harbor strong connections with my peers, was an essential factor In the success of moments like these. Working with Katherine in the past, I knew she would be keen with helping out, and that possessed a strength for completing tasks efficiently and adapting to changing circumstances. I believe this event really allowed me to apply my understanding that successful leaders and teams develop strong relationships and incorporate effective group processes (Theme 1: Principles of Leadership and Teamwork)


Between 4th Meeting and Event Day

  • Sent out all remaining promotional materials to Ms. Rioux / Mr. Lee
  • Made sure to spread word to all friends / peers about all upcoming events,
  • Talked to Mr. Ireland regarding Mic & Scoreboard system
    • Met up with him a day after, and learnt the systems for connecting the mic, speaker, and scoreboard.
  • Checked up with PP crew on any date / event changes.
  • Talked to teachers about my event, and any possible lates / absences
  • Offered to help with other events on days I was available
  • Made sure to plan out spirit gear for all events.
    • Talked to a variety of friends both in and out leadership, and devised other spirit themed plans for the week
    • Pulled up in spirit drip every day of the week and took some fun photos with friends both in and out of leadership🔥.

Event Day

  • Before
    • Made sure to get some good sleep in and eat healthy prior to event
    • Block 3 – had an off block, so checked in with Ms. Rioux & Mr. Ireland to make sure all equipment was ready
    • Tested Equipment, and begin setting up with group
    • Sent out messages to friends to come to event
    • Set up music playlist
    • Went over a rough copy of business plan with group, ie)
    • Everyone showed up with spirit wear, and took some group photos!
    • Played a couple rounds of dodge-basketball with the crew before lunch began.
  • During
    • Work on timer system, did basic announcements / countdowns
    • Went back and forth from controlling audio / sound levels & directing crowd control
    • Adjusted times / round durations based on available times
    • Checked in multiple times with group, clarified rules, spotted any cheaters during the games
    • Did interview with Hannah and Hansen
  • After event
    • Cleaned up with group, return mic and scoreboard systems to Mr. Ireland
    • Noted down which members completed tasks
      • Even though we were a small group, I think we all managed our responsibilities well, and were able to adapt on the go.
      • Nobody showed a lack of effort, and my group was constantly asking for the task to tackle.
      • Overall that day Ryan, Sean, and Max not only understood their roles really well, but helped me too by spotting cheaters in game, and letting me know when time was about to run out.
    • After school
      • Met up with group and completed event reflection
      • Discussed strengths, possible adjustments, and what to consider for next time.
      • Offered to take on cameraman role for the talent show

Extra Event – Talent show

  • No prep work or planning was need
  • On the day of the event, I met up with Ms. MacPherson in block 3, went over live stream setup / procedure / restrictions
  • During the event, I worked my way around various spots in the cafeteria to film the event
  • Achieved “Facebook Dad” status by my peers
  • Overall a really fun and exciting event

 

 

Curricular Competency & Aligning goals

A major goal for me for my event was to prepare everything before hand, prepare for the worst, leave time for adjustments / changed

Going into my role as PP, I knew that my ability to manage my time, and finish tasks were essential to running a successful event. A major goal for me, throughout this course is to be able to not only manage my time during these specific events but be consistent with this skill and apply it throughout my entire day-to-day life. I believe that creating a detailed google calendar consisting of all events and deadlines and planning ahead of time were a crucial component in the success of the event.

But more importantly, I knew that I could not base all these things on just my abilities and availability. In the past few leadership events I have been in, I have noticed that the most organized and successful events are led by those who value the voices of their group members and are constantly open to change.

Weather that meant…

  • Taking suggestions for organization and processes
    • Ie) event / theme ideas.
  • Getting to know my group, and providing roles that best fit their abilities and strengths
  • Being willing to accept and learn from any mistakes / miscalculations
    • Ie) The one time I forgot to include the room number and put the wrong month for a meeting post 😭
  • Being honest about things that I had uncertainty with, and then tackling those uncertainties by communicating with Ms.Rioux and fellow PP
    • Ie) date / event changes – asking Ms. Rioux about new event dates

By being versatile and willing to understand my team members and help them to navigate resolving situations within the event I strongly believe that I was not only able to grow as a individual and bring my skills to fruition, but also create a comfortable and flexible environment that allowed my group to really have fun and enjoy the process.
