October event- Halloween movie and popcorn
Event Participation: Briefly describe your involvement from start to finish.
For the Halloween Movie and Popcorn event, I was the Point Person, leading the overall planning and coordination of the event. This was my first time being a point person, which made me realize how much responsibility is involved and how much time and effort it takes to make sure everything will be runned smoothly. Prior to our meetings, I created and allowed my group to choose their roles based on which one fascinated them the most. During our meetings, I emphasized the events needs and helped guide the group through the overall plan and worked on decorations with some of my other group members. I kept communication open, answering any questions and providing support for my group, ensuring my group members understood the responsibility of their roles.
Curricular competency: Identify and understand what it means to be a leader
Leadership skills: As a point person, I facilitated the initial structure of the event and guided my team through the planning process, while asking for recommendations on how we should make the event better. I created roles for team member such as decorations, popcorn machine operation, computer/tech set up, marketing and security at the door. By allowing each team member to choose a role based on their interest, I gave them freedom to take ownership and contribute to the event meaningfully. This experience helped strengthen my understanding that leadership not only involves providing guidance and direction, but its also about giving people the chance to take on responsibility and make decisions in their roles.
Communication skills: Communication played a significant part to the success of the event. I held two meetings where we discussed our plan and adjusted when needed. I had also communicated with my team members via teams sharing the business plan, meeting days and any changes to the event. I communicated what should happen on the day of the event, ensuring that everyone understood their responsibilities, from the marketing team, to security at the door. During the event, I kept an open line of communication with my team, addressing any issues, and confirming everyone was on the same page. This experience strengthened my ability to communicate in an effective manner while keeping the team/event organized.
Critical thinking skills: This event required quick thinking and problem-solving skills, especially when challenges occured. For example, when the HDMI connection did not fit with the laptop, I collaborated with another team member to resolve this issue. Additionally, another group member and I took the initiative to promote the event by advertising in the halls to draw in more students. These moments helped me develop the ability to assess situations and make decisions quickly.
Actions Taken: Explain what you did to work towards or achieve this competency.
Prior to the event:
- I put out a variety of roles for the team to choose from including decorations, tech/computer, popcorn machine, marketing and security. This approach allowed my team members to pick something they were interested in ensuring they were commited to their specific role/task.
- I organized planning meetings to discuss the events needs, adjust plans and clarify responsibilities and the movie that we would show. I also set out a school-wide announcement to promote the event, ensuring that it will be known around the school.
During the event:
- I kept communication open, addressing any problems and checking in with team members to ensure that everything was running smoothly. When a technical issue with the laptop occurred, I quickly collaborated with the tech/computer member to resolve the issue.
- There was a last-minute decision to change the event pricing. Initially, we planned for a $1 entry free that comes with popcorn. However, we decided to make the entry free and charge $1 for popcorn. I communicated this change to the team, ensuring they were prepared to manage the updated pricing at the door and with popcorn sales.
- On the day of the event, I made sure everything was set up perfectly, that all the decorations were hanged and were able to be seen, the tech was working properly, and the security team was managing the entrance and handling popcorn sales. I ensured the team stayed on track and that all tasks were completed.
After the event:
After the event, I made sure everything in the library we put up was taken down and food particles were picked up, leaving the library in a clean and tidy condition. The day after, I helped clean the popcorn machine and directed my team members to take down the posters located in the halls. This deepened my understanding of being a leader as its about taking responsibility for both prior and after the event, ensuring that all tasks are completed and organized to the end.
Evidence: Provide strong, concrete examples of your efforts and achievements. Ensure your leadership teacher can understand this evidence.
- As a point person, I facilitated the process of assigning roles, allowing each team member to choose their roles based on their interests (decorations, tech set up, popcorn machine, marketing and security). This encouraged responsibility, ensuring everyone was engaged with their chosen role.
- I organized and led two meetings where we discussed how the event should play out and adjusted plans as needed. This ensured everyone was on the same page and aware of their responisibilities.
- Regarding the promotion aspect of this event, I made a school-wide announcement, demonstrating leadership in raising awareness and attracting students to the event. This action emphasized my ability to manage communication and ensure the event reached a larger audience.
- During the event set up I encountered a technical problem with the HDMI connection on my laptop. I quickly communicated with the tech person to resolve this issue by switching to another laptop.
