April Event- Movie Under the Stars

Leadership April Event

Thursday, April 24th, 2025

Event Participation:  

 For the April event, I signed up to be a point person, as this was one of the goals I had been working toward throughout the course. I was in charge of helping plan and run the movie night. Before our first meeting, Baran, Jana, and I started brainstorming ideas for posters, reels, and the foyer board.  

During our first meeting on Wednesday, February 26, we met with our entire group to explain the event. We talked about the location, food options, and possible movie choices. We also got to know our team members and their strengths better. We asked everyone to ask their friends for movie suggestions and tasked each member with coming up with one animated and one real-life movie idea for the next meeting. After the meeting, I posted a meeting recap on Teams. I also helped create a Microsoft Form for team members to sign up for their specific roles. In addition, I also worked with the other point people to complete the event planning form.  

At our next meeting on March 12, we decided to post a poll on Instagram so students could vote on which movie they wanted to watch. We also discussed ticket pricing and food options, eventually deciding on soda, popcorn, and candy bags. We also assigned the roles and recommended that the marketing team start designing posters and brainstorming reel ideas over spring break.  

At the April 2nd meeting, we finalized our ticket sale dates, picked the movie options for the Instagram poll, and set deadlines for posters and reels, which I also posted on Teams after the meeting. Furthermore, on April 10, we met as a team during lunch to work on designing the foyer board and filming the reels. We split into two groups, one focused on filming, and the other on decorating. We also put posters up around the school. On Friday, April 12, we stayed after school to finish decorating the board and make sure it looked good.  At our next meeting on April 9, we set specific deadlines for Instagram posts and reels and made sure everyone was on track. We assigned lunch-selling dates and asked everyone to get permission from their teachers to leave class a few minutes early. I also included these details in the meeting recap. 

During the following week, I helped sell tickets at lunch from Tuesday to Thursday and again the next Tuesday. We had some challenges, including forgetting to print the tickets. I made sure to step up and design and print the tickets in time for the next day. We also had delays getting our announcements and reels approved and posted, but by Wednesday, everything was back on track. I also recommended marketing to film another reel to increase sales. At our final meeting on April 23, we reviewed last minute details and confirmed everyone’s roles for the next day, making sure everyone knew what time to come. Jana and I stayed afterward to meet with Chami and decide on the courtyard layout.  

On the event day, April 24, Jana, Dowar, and I stayed after school to help with setup. We filled candy bags, set up tables and helped blow up the movie screen. Before the event started, I also checked in with each group to make sure everyone knew their roles and responsibilities. During the movie, I continued to check in and help out to make sure everything was going good.

 After the event, I stayed after to help clean up, put away tables, and wash the popcorn machine. We then completed a post-event reflection as point people about what went well and what we could improve. One of the main things was we needed clearer communication and organization. We got better with both at the end but struggled in the beginning. We also could have done a better job checking in with each other and reminding each other about stuff. However, despite these issues, we were still able to pull the event off successfully.

Public Speaking  

One of my goals was to become more confident speaking in front of others. Through this event, I had alot of chances to practice. During meetings, I regularly spoke up, shared reminders, and explained the event details. On the event day, I communicated with each group and made sure they understood their specific tasks. This helped me improve my communication and confidence, I also got more comfortable sharing my ideas.

Collaboration Skills  

I wanted to improve my ability to work with others. As a leader, I had to collaborate with different people for different parts of the event, such as selling tickets, decorating the foyer board, or filling candy bags. I made sure to listen to others ideas, especially during group discussions, and encouraged quieter people to also contribute.  

Teamwork and Inclusivity  

One of my goals was to make sure everyone felt included and heard. As a point person, I made an effort to check in with quieter group members. If I noticed someone wasn’t doing anything during a meeting, I would approach them and suggest a task. I also spoke with quieter people individually after discussions to make sure they had a chance to share ideas. Moreover, I tried to make sure everyone was doing something they felt comfortable with.  

Adaptability  

Many things didn’t go as planned, and I had to stay flexible to keep things running smoothly. For example, when we forgot to print the tickets, I quickly created a design and printed them myself for the next day. I also followed up with the marketing team when the Instagram reel wasn’t posted and suggested filming another one when we realized we needed more promotion. This helped me develop my adaptability and problem-solving skills.   

  

Before the Event  

When I first heard about the Movie Night event, I signed up as a point person because I wanted to challenge myself and grow as a leader I’d never been a point person, and it was one of my goals. Before our first meeting, I made sure to communicate with the other point people to start brainstorming ideas to make sure we were prepared for the first meeting.  

At the meetings, I made sure to share ideas and goals for the event and made sure everyone knew exactly what they needed to do. I encouraged others to also share their thoughts as well. After each meeting, I wrote up a recap with extra details like deadlines, meeting dates, and tasks that needed to be completed. Even though I wasn’t used to doing things like that, I pushed myself to stay organized and make sure everyone knew their tasks and responsibilities.  

As the event planning went on, I made sure to try to keep everyone on track. I checked in with people, especially the ones working on the marketing and Instagram reels, to make sure they were ready and could post the reels. One big issue we faced was on the first day of ticket sales when we realized we had forgotten to print the tickets. It was stressful, but I took responsibility and made the tickets for the next day. 

 

During the Event  

On the day of the event, I stayed after school to help set up and take care of any last-minute tasks, such as making the candy bags and setting up the screen. I also made sure to talk with Jana about exactly how we wanted everything before the event started. When everyone arrived, I made sure to explain their roles clearly, especially for the ticket checkers, so they knew exactly what they needed to do. I stayed with them during the start of the event to make sure everything went well and to help out if any problems came up. We also made sure to adapt, when it was too light out as point people, we got people to think of ideas to delay the movie a bit.  During the event, I also walked around to check on different areas, especially the food section, to see if anyone needed help. I made sure things were going well and that everyone was comfortable. For example, at one point, there was a long line at the popcorn station, so I tried to help them.  

 

After the Event  

Once the movie ended, I helped clean up and make sure everything was put away properly. I helped put away the chairs, tables and clean the popcorn machine. After the event I and the other point people talked and reflected on how the event went. We talked about what worked well and what we could improve on.  I shared that I felt we could’ve done a better job of delegating tasks and managing our time. Looking back, I realized that I should have trusted the team more and given them more responsibilities by even posting in the team channel to see if anyone could do the tasks. I also listened to what the other point people had to say about how I could do better in the future. Overall, I’m proud of how the event turned out, but I also think we could have improved a lot, especially in the beginning.

Example 1: Before  

  • Example: Before we started the event, I talked with the other point people to create a rough plan of what we needed to get done and what to talk about in the first meeting.  
  • Explanation: This shows that I took initiative and leadership by preparing ahead of time and helping create the overall structure. I didn’t wait until the day of the meeting to do it, instead I prepared in advance. Organizing the meeting helped improve my communication and planning skills and gave me a chance to take on more leadership roles.  

  

Example 2: During  

  • Example:  After every meeting, I posted detailed recaps in Teams with important dates, reminders, and what each person was responsible for. I also followed up with people, like reminding marketing to edit the reels about the posting deadlines and confirming who was selling tickets at lunch.  
  • Explanation:  By posting recaps and reminders, I helped keep the team organized and ensured everyone knew their responsibilities. This communication helped make sure things stayed on track. It also showed that I was taking on more diverse leadership roles.  

  

Example 3: During  

  • Example:  On the day of the event, I checked in with every team member to make sure they knew their responsibilities. I explained the ticket-checking process to the people and stayed with them to make sure everything was going well.  
  • Explanation:  Instead of just assuming everyone knew what to do, I took the time to explain tasks clearly and check in with everyone to make sure they felt confident. This showed my leadership by being available to help and making sure people were comfortable with their roles, which helped everything go better.  

  

Example 4: After 

  • Example:  After the event, I had a conversation with the other point people about how the event went. We discussed what went well and what could have been improved. 
  • Explanation:  Taking time to reflect on the event, showed I was dedicated to learning and improving. I recognized that we could have worked better and communicated more with the team, and by sharing this and listening to others ideas, I was able to get feedback on how to improve in the future, which is very important for a leader to do.  

  

Conclusion:  

 Overall, I think the event went okay, but there are things I would do differently next time, especially as a point person. One thing I learned is that communication between point people is really important. We didn’t always remind each other or check-in, which caused some things to fall behind like the Instagram reel and tickets .I should have followed up more and made sure those were posted on time. I also could have planned better and worked on announcements earlier instead of waiting until the last minute.  

 Promotion was also a big challenge. The announcements were late, and the reel was posted on the same day as selling, which I think affected how many people showed up. I realized that I should’ve taken more responsibility to make sure those things were done earlier. For ticket sales, we had one point person each day, but I learned that I still needed to support others, especially on the first day when things were a bit messy. After that, I made sure to be there almost every day and help out.  Another thing I learned is that I need to trust my team more and delegate better. I tried to do too much on my own, which made it harder for me. Even though the event wasn’t perfect, I feel like we all worked together and improved towards the end, and I learned a lot for future experiences.
